Our local College Client is looking for a temporary Administrative Assistant to work for their VP of Communications. This role will be in place while they search for a permanent candidate for the position, this could turn into a permanent position within the College. This position is located in Grinnell, and you can choose to work 20-40 hours a week.

Provide advanced support to the VP for Communications

  • ∙Serve as liaison between College/external constituents and VP
  • Handle meeting requests, correspondence, other inquiries as appropriate
  • Alert VP of any potential problems and take initiative to research and offer solutions as appropriate
  • Track critical dates for reporting, special projects, and assignments
  • ∙Manage calendar
  • Schedule appointments (internal and external)
  • Ensure regular contact between VP and team, peers, faculty leaders, student leaders, and the president by scheduling regular meetings
  • Prepare/distribute agendas
  • Set up Go-To-Meetings and conference calls
  • Coordinate arrangements for meetings, including ensuring VP is prepared with appropriate materials
  • ∙Review and prioritize mail (and e-mail when appropriate) o Note actions and decisions
  • Use judgment to respond on VP’s behalf when appropriate
  • ∙Coordinate travel to conferences, donor events, trustee meetings, etc.
  • ∙Research peer college policies, processes, protocol, procedures, etc., via internet or personal contact with counterpart

Assist with day-to-day operations

  • ∙Serve as initial contact for guests and campus clients both in the person and on the phone; serve as information resource
  • ∙Resolve non-routine and complex inquiries from on- and off-campus constituents as needed
  • ∙Coordinate master office calendar
  • Schedule regular staff meetings; compile notes, including any action steps, and distribute to staff; prepare and distribute agendas
  • Track staff absence requests for Director of Communications
  • ∙Special projects as assigned
  • ∙Maintain office equipment and supplies

Hours

Monday – Friday between 8am-5pm (flexible, you can choose p/t or f/t)

Temporary position, could potentially lead to permanent

Pay

$12-13/hr. DOE
