Manufacturing  facility has a 32-40 hour per week opening for a right hand administrative support person. This is a busy office and includes work both in the office and some on the production floor

• Get mail
• Check phone messages
• Answer phone
• Check emails
• Accept orders in iSupplier
• Enter orders in database
• Acknowledge Komatsu orders
• Prepare shipment paperwork
• Enter shipments into database
• Enter production into database
• Print dock audits from database
• Enter bills into QuickBooks
• Invoice shipments shipped direct from suppliers
• Calculate time cards and enter into QuickBooks
• Pay bills from QuickBooks
• Print checks (bills and payroll) QuickBooks
• Print and apply UPS labels and packing lists for shipments
• Attach payment record to paid bills and timecards and file
• Receive payments into QuickBooks, attach to invoice and file
• Print out open orders and inventory report from database weekly
• Order material and supplies from QuickBooks or online through suppliers website
• Check in incoming UPS
• Test rubber
• Print monthly scrap reports from database
• Payroll and filing payroll taxes
• Accounts receivable
• Accounts payable
• Purchasing
• Preparation of shipping paperwork and UPS shipments
• Customer service
• Order entry
• Maintain ISO system and MR for audits
• Inventory control
• Prepare quality paperwork and measure parts for new products
• Measure and approve inserts for production

• High school diploma
• Proficient data entry skills
• Experience with QuickBooks desired
• Strong understanding of bookkeeping/accounts payable/receivable
• Comfortable with technology and online work

• 7 AM – 3:30 PM M-Th, Friday’s as needed

• Mt Carroll, IL

• $12 per hour/temp to hire
