This position ensures the smooth execution of key initiatives by providing organizational, clerical, and logistical support. The ideal candidate is detail-oriented, highly organized, and enthusiastic about contributing to a mission-driven organization. This position reports to the Director of Community Relations. This position is a direct-hire position.
Key Responsibilities
• Assist in scheduling meetings, managing calendars, and coordinating appointments.
• Prepare meeting agendas, take detailed minutes, and follow up on action items.
• Manage email correspondence and ensure timely communication with internal and external stakeholders.
• Ensure digital and printed files, documents, and reports are up-to-date, accurate, complete, and timely.
Event Coordination
• Provide logistical support for events and programs.
• Coordinate with vendors, venues, and partners to ensure seamless execution of events.
• Create and distribute promotional materials, invitations, and post-event reports.
Database and Reporting
• Input and maintain accurate records in donor, grant, and scholarship databases.
• Generate reports, track metrics, and compile data to support grantmaking and philanthropic activities.
• Monitor deadlines for grant applications, fund reports, and other deliverables.
Communications Support
• Assist with drafting and proofreading newsletters, press releases, and other written materials.
• Manage content updates for the organization’s social media platforms.
• Coordinate with the team to ensure consistent branding and messaging.
General Office Duties
• Greet visitors and respond to phone and email inquiries with professionalism and courtesy.
• Order office supplies and manage inventory to ensure operational efficiency.
• Perform office activities such as organizing mail and running errands.
• Collaborate with other team members to support cross-departmental initiatives.
Qualifications
• Associate degree or beyond, preferred.
• Proficiency in Microsoft Office tools (Word, Excel, and PowerPoint).
• Superior verbal and written communication skills.
• Ability to work with limited supervision, and as part of a team, to manage multiple and sometimes competing priorities effectively.
• Must have a high level of interpersonal skills to handle sensitive and confidential information. Position continually requires demonstrated business etiquette.
• An affinity for philanthropy, the role of non-profits in strengthening communities, and a commitment to diversity, equity, and inclusion.
• Have a valid driver’s license.
