OVERVIEW
This position will support the division’s President/Director of Operations and the Project Managers through clerical and administrative duties.
JOB RESPONSIBILITIES
• Analyze and organize Division operations and procedures, including but not limited to: bookkeeping, preparation of payrolls, invoices, filing, and requisition of supplies.
• Identify, evaluate, and revise Division procedures to improve efficiency of workflow.
• Review project files to ensure completeness, accuracy, and timeliness.
• Prepare submissions of monthly and quarterly state job site hours/earning reports and maintain and submit required certified payroll reports.
• Coordinate with the President/Division Director of Operations and Project managers to ensure all deadlines are met, including but not limited to, billings, submittal, contractual documents, and warehouse needs.
• Setup and maintain all project files.
• Prepare and distribute various daily, weekly, and/or monthly reports accordingly.
• Monitor past due balances and retainage of the Division and send out invoices or call customers accordingly.
• Enter, approve, and pay bills as needed.
• Act as a liaison to answer inquiries submitted by the customer.
• Other duties as assigned.
QUALIFICATIONS
• High School diploma or GED; or a combination of education and experience.
• 3 to 5 years of related experience.
• Proficient with Microsoft Office suite or related software
• Excellent verbal and written communication skills
• Basic understanding of administrative and clerical procedures and systems
• Excellent attention to detail
• Ability to sit for long periods of time in front of a computer screen
• Ability to lift up to 25 pounds at a time frequently; up to 50 pounds seldomly
WORK HOURS
· 8a-5pm Monday-Friday
WAGE

$20-$21 pending qualifications/skills
