This position manages office operations by providing administrative support to the Executive Director and projecting a friendly and professional company image through in-person, email and phone interactions.
Welcomes visitors by greeting them in a friendly & professional manner, in person, email or on the telephone; answering or referring inquiries.
Directs visitors by maintaining employee and department directories; giving instructions.
Forwards information by receiving and distributing communications delivered to the Welcome Center to the proper office.
Provides tours of the Welcome Center when requested.
Maintains office supplies and promotional products inventory by checking stock to determine inventory level; anticipating needed supplies and notifying Executive Director if stock needs replenished; verifying receipt; and stocking items.
Maintains office schedule by having Welcome Center staffed during scheduled time. Responsible for opening and closing the Welcome Center when needed.
Maintains cleanliness of office by keeping workspace and building in a tidy and orderly condition. This will include cleaning windows, dusting, sweeping floors, mopping, etc.
Creating and modifying documents (letters, marketing material, brochures, etc.). Prepare letters & labels for mailings. Photocopying, mailing, faxing, filing, as needed.
Learning how to operate office equipment (copy machine, fax, phone, etc.) with proficiency.
Maintain database (Excel & Constant Contact) for Visitor Guide requests, event registrations, and special projects.
Updates job knowledge by participating in educational opportunities provided by company.
Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
Proficient with Microsoft Office software
Strong attention to detail
Ability to multi-task, effectively communicate verbally and in writing, problem solve, work under deadlines, type a minimum of 40 WPM, be dependable, and present an appearance and demeanor of professionalism.
High School diploma preferred
Previous office experience preferred
Thurs & Fri, and a 3rd day, 8-4 with unpaid lunch
Business Casual – Includes: khaki pants, slacks, skirts, blouses, short sleeved polo shirts, and long sleeved shirts. Excludes: jeans, tennis shoes, flip-flops, short skirts, t-shirts, and sweatshirts. Exceptions may be made during special events.
